Samira Docs provides application preparation and documentation support in Qatar. This policy explains how we handle personal information shared with us through our website, WhatsApp, and service communications.

2. Information you share

Depending on your enquiry and the agreed service, you may provide your name, phone number, nationality, travel details, application information, passport copies, identification documents, and supporting paperwork.

Please contact us before sending documents. Send only what is needed for the agreed service. If you provide another person’s information, ensure you have authority to do so.

3. How we use your information

We use your information to respond to enquiries, confirm service requirements, prepare application forms, organise and review documents, and communicate about your service.

If the agreed service requires sharing information with an embassy, application centre, or another recipient, we will explain the intended recipient and purpose and obtain any necessary authorisation before proceeding.

4. Third-party services

We use WhatsApp and email for customer communications, and third-party infrastructure to operate our website. These providers may process technical or communication information, including on systems outside Qatar.

Deleting copies we control does not delete information independently retained by these providers, application recipients, or other people you have shared it with.

5. Storage and deletion

Documents needed for your service may be received through WhatsApp or email and saved on our computer.

Our computer uses a password-protected login and device encryption to help protect stored customer documents.

We delete customer application documents from locations we control within 45 days after service completion. This includes our WhatsApp copies, email attachments and document-containing messages in inboxes, sent folders and trash, computer files, the Recycle Bin, and any backups we control.

This document-deletion period does not require authorities or service providers to delete their independently held records. If a legal obligation requires us to retain particular information, we will limit retention to what is required.

6. Your privacy requests

Contact us to request access to your personal information, correction of inaccurate details, deletion, or withdrawal of consent where applicable. We may need to verify your identity before acting on a request.

Some requests may affect our ability to complete your service or may be subject to applicable legal requirements.

We may update this policy when our services or information-handling practices change. The latest version and its update date will appear on this page.
